When is it OK to use a different name (first and last ) and when is it a must to use your legal name? Some things are clear but other things are not. Ex: when checking into a hotel, when renting a house, when applying for a job, and others

Anytime you have to fill out a legal contract, you have to use your legal name.  That includes renting / leasing anything and getting a job.

Walt is right. And it includes anything government such as taxes or welfare! You can also get in big trouble for not giving your legal name during a traffic stop, ticket or caught committing a crime.
